Обязанности

  • 01Manage calendars for VP-level leaders, including scheduling meetings and resolving conflicts.
  • 02Coordinate internal and external meetings across multiple stakeholders and time zones.
  • 03Arrange travel, accommodations, and itineraries.
  • 04Process expense reports and support other administrative tasks as needed.
  • 05Help leaders stay organized by tracking action items, deadlines, and follow-ups.
  • 06Coordinate team meetings, offsites, and other team events.
  • 07Prepare agendas, meeting materials, and notes when needed.
  • 08Assist with onboarding logistics for new team members.
  • 09Support quarterly planning sessions, team reviews, and other recurring team operating rhythms.
  • 10Maintain documentation, team resources, and organizational systems.
  • 11Help improve administrative processes and workflows to increase efficiency.
  • 12Partner with other Administrative Assistants, Executive Assistants, and cross-functional teams to coordinate work and solve problems.
  • 13Serve as a reliable point of contact for scheduling and coordination needs.
  • 14Communicate professionally with employees, candidates, customers, and external partners.
  • 15Build strong working relationships across the organization and contribute to a positive team experience.

Требования

  • 012–3 years of experience in an administrative, coordinator, office management, or operations role.
  • 02Strong organizational skills with exceptional attention to detail.
  • 03Excellent written and verbal communication skills.
  • 04Ability to manage multiple priorities and adapt quickly to changing needs.
  • 05Experience with Google Workspace, Slack, Notion, or similar productivity tools.
  • 06Strong judgment and discretion when handling sensitive information.
  • 07Experience supporting leaders or teams in a high-growth technology company.
  • 08Experience coordinating events, offsites, or team meetings.
  • 09Comfortable creating presentations, documents, and spreadsheets with a high degree of accuracy.
  • 10Demonstrated ability to anticipate needs and proactively solve problems.
